Hosted staleness and consumer access

Separate source freshness, extract processing, hosted connectivity and access capabilities when local authoring differs from a consumer’s view.

Recognize the symptoms

The author sees expected local values, while a hosted consumer sees older data, cannot open content or sees a different permitted subset. These symptoms require different evidence and should not trigger one broad permission change.

Understand the likely causes

  • Possible causes include an old extract, stale upstream source, failed source mapping/credentials, unsupported connectivity, missing content capability or a legitimate row-entitlement difference. A completed publish is not proof of all these stages.

Classify before changing

Record workbook/source versions, observation time, access mode and intended consumer capability without exposing personal identifiers or credentials. Determine whether the failure is data age, processing, source connectivity, content access or row population. Desktop success establishes a local path only. A denied workbook is not automatically a bad calculation, and an old number is not automatically an authorization issue. Preserve exact safe diagnostics from the responsible owner before changing shared content. Broad role elevation can alter security while leaving a stale extract or broken source schema untouched.

Trace usable data and processing

For stale data, compare source cutoff, extract rules, last completed task and actual published-source identity. A 10:00 completion can contain 09:20 data and be 50 minutes old at 10:10. Review approved hosted connectivity and authentication for the exact source. Cloud/private-network scenarios and Server deployments have different responsibilities; a successful author laptop connection is not sufficient. The following record is synthetic, not a service log. Do not install clients, expose secrets or repeatedly trigger refresh/source work to make this guide appear operational. Ask the authorized source and platform owners for the narrow evidence needed.

Times and conditions are teaching inputs. No site, Bridge client, source or account is inspected.

Review effective access and population

For access denial, separate licensed/site-role capability from effective content permission and source authentication. A sign-in alone grants none of those automatically. For a different allowed total, inspect identity format, entitlement mapping and protected row-security design. North 30 can be correct even when the unrestricted author sees 60. Do not grant editing or download capabilities merely to force a consumer test to match the author. Review alternate paths and source ownership together. Current product/feature entitlement belongs in the decision record, without copying old prices, universal limits or assumptions that every site includes the same data-policy features.

Verify the contextual correction

Define expected artifact identity, usable cutoff, quality counts, consumer capability and allowed totals before the correction. After an authorized change, verify the affected stage and end-user result while retaining original evidence. This guide performs no publication, refresh, sign-in, permission update or external message. Official references describe supported boundaries, not a tested site configuration. A complete editorial handoff names cause, contextual fix, verification and remaining uncertainty. It must not claim that a paper plan has already repaired or secured Tableau, nor that a successful local oracle proves every hosted consumption path.

Verify the fix

Verify the intended consumer, data cutoff, permitted population and actual capability separately. A working local workbook or green publication task cannot establish the complete chain. Keep observed results and unexecuted checks explicit.

Keep it from recurring

  • Maintain owners for workbook versions, sources, credentials, refresh and access reviews. Keep stale-data, unknown-identity and denied-capability fixtures; expose usable-data cutoff and revisit shared-source dependencies before release.
